Emails from FogBugz On-Demand are Marked as Spam

Overview

Email notifications sent by FogBugz or Kiln On-Demand might be marked as Junk, Spam, failed fraud detection, or phishing by your email provider (e.g.: Google Apps, Microsoft Office365, or your own email system). This happens when the email is sent as something@yourdomain.com by fogbugz.com SMTP servers and your DNS SPF records do not include fogbugz.com as allowed to send email on behalf of your domain.

 


Solution

You need to configure your DNS records to include fogbugz.com servers as allowed to send emails on behalf of your domain.

To do that, add FogBugz’s domain SPF records to the SPF records of the domain used for sending emails from FogBugz.

This setting change needs to be executed by the web domain administrator of the given domains who has access to the DNS records (NOT by the FogBugz Administrator).

The SPF record to be added is:

v=spf1 mx include:spf-basic.fogbugz.com -all

 

Notes:

  • If you have multiple domains, you need to add the SPF record to all of them (to all the domains of the emails listed under Avatar Menu > Mailboxes, aka FogBugz Connected Mailboxes).
  • The SPF record needs to be added at the top-level domain, not at the mail server level. Eg: if your mail server is mail.mycompany.com, then the SPF record needs to be added for the mycompany.com domain (NOT the mail.mycompany.com domain).
  • The record has been updated from spf-basic.fogcreek.com to spf-basic.fogbugz.com.

Depending on your email provider, the SPF record may need to be entered as a TXT record. For more details on how to create the new SPF record, please consult your email or web service provider’s documentation. Here is the SPF record in the default TXT format:
